As more companies adopt remote work, managing tasks and communication between teams without face-to-face interaction has become a challenge. To address this issue, global IT company YNS implemented VoicePing, bringing innovative improvements to their work environment. We spoke with Abe and Hayashi from YNS to learn more about their experience.

Could you briefly introduce yourselves?
Abe: My name is Abe, and I serve as the P&C Manager. P&C, which stands for People & Culture, is not a widely recognized department name in Japan. Our team in the Philippines oversees general affairs, labor management, and human resources.
Hayashi: I’m Hayashi from the Corporate Planning & Public Relations Department. Our department has a wide range of missions, but my main role is to enhance YNS’s brand awareness and grow our community of supporters.
Can you tell us about your business?
Hayashi: YNS is an IT company that supports clients in improving operational efficiency and launching new businesses. Our services go beyond system and app development—we provide end-to-end solutions, including IT consulting, system maintenance, and operations support. We have offices in both Japan and the Philippines, with the Japan office handling client relations and project management, while the Philippines office focuses on development.
What led you to implement VoicePing?
Abe: We had been using another virtual office service, but a revision in their pricing plans prompted us to explore alternative solutions. How has your experience been using VoicePing?
Abe: Since VoicePing is a virtual office developed by an IT company, it offers a range of features tailored for remote work. As a result, we’ve seen a significant improvement in productivity management. One of the biggest advantages compared to other services is the time-tracking feature. Previously, we could only estimate working hours, but with time tracking, we can now monitor them accurately and effortlessly. Additionally, the admin dashboard allows us to check working hours, making attendance management much easier. The meeting call feature is also quite convenient. With our previous tool, we had to manually inform participants of the meeting location each time, but with VoicePing, participants can simply click the “Join Meeting” button to enter the conference room instantly. These features effectively support remote work.
How has your team responded to it?
Hayashi: The feedback from our team has been positive, with many saying that their work efficiency has improved. For instance, the time-tracking feature makes it easier to allocate time for tasks, allowing both individuals and teams to manage their schedules more effectively. The translation and transcription functions, which were not available in our previous tools, have also been well-received as they enhance team collaboration. Personally, I enjoy the ability to customize our virtual office with furniture and backgrounds. In our department, we’ve decorated our meeting room with a sofa set, coffee, and cake.
Abe: Another appreciated aspect is how VoicePing’s workspace allows us to feel a sense of presence, even while working remotely. The platform displays user icons on one side of the screen, showing which windows colleagues have open. This makes it easy to check each other’s work status in real-time without having to ask. Many have said that this clarity helps them feel more connected, even in a remote setup. Additionally, VoicePing has a screen capture feature that takes snapshots every 10 minutes. As part of our internal policies, we plan to enable this setting when launching our upcoming workflow improvement program.
Do you have any additional feedback on VoicePing?
Abe: Since our company regularly holds meetings of various sizes with our Japan and Philippines teams, we received feedback from employees fluent in English that certain words and nuances were not always transcribed accurately. However, for employees who are less comfortable with English, the translation function has been helpful in understanding the flow of discussions.
Hayashi: There are times when the transcription changes certain words incorrectly, so we hope to see improvements in accuracy. That said, the feature itself is extremely useful. As part of my role in public relations, I often conduct interviews with our team members in the Philippines. Previously, I had to manually transcribe recordings while reviewing the footage. With VoicePing, I can now download an automatically generated transcript in English, which has significantly reduced my workload.
Meeting Customer Needs with Innovative Solutions

What are your future plans?
Hayashi: Currently, YNS has around 100 employees across Japan and the Philippines, with many working remotely. To enhance productivity within our teams and facilitate seamless communication, we plan to continue leveraging VoicePing actively.
From a business perspective, we are also working on expanding our offerings by enhancing our packaged solutions and incorporating no-code development to better meet the diverse needs of our customers.
