Getting the most out of VoicePing

Invite Teammates

VoicePing allows workspace user onboarding in two simple ways, one being invite links and the other being invite emails. We start off by clicking the invite button on the top right corner of the VoicePing app.

Next up, we need to type in the email addresses of the users we need to invite in the modal that opens

Once that’s done, the intended user will have an invite email in their inbox! In case they can’t find it, please prompt them to check their spam folder as well!

Track your time

VoicePing being an end-all-be-all solution for remote workspace woes, offers time tracking — a feature used by many firms (albeit by using another app to perform this task) for their employee payment!

VoicePing offers this out of the box, and it can be used fairly simply!

Employees can track time by clicking on the start button on the top left-hand bar.

Once this is done, the tracker will turn green

Hovering over each employee will show

  • Whether they are working
  • When did they last work
  • What are/were they working on

See what your teammates have been up to!

VoicePing records the current real-time app that your teammates are using on all platforms, be it Mac, Windows or Linux, coupled with the time tracking notes allows you to see what exactly is your remote team working on!

Have a quick call!

Quick calls are indeed meant to ease out the friction introduced by zoom calls, or any other form of planned out video calls

These are spontaneous conversations that you might have if you were to be in an actual office, and unlike those pesky video calls, all quick calls start off as pure audio calls that can later be converted into video calls if the participants want them to.

A quick call can be initiated by simply hovering over the user, and if the user is available, it shows the “Audio call” button next to their name!

Simply clicking this button will initiate a call (just like a phone call) which the user can opt to answer, in which case the two of y’all enter inside a conversation.

Sync your calls to slack

Syncing transcriptions is one of the subtle features in VoicePing — while the use case is difficult to understand at first, we know many customers who now can’t live without it!

Syncing your meeting logs to slack not only means

  1. You have a consolidated place where all your meetings conversations (in text), the participants, and the time is stored
  2. This allows you to perform a reverse lookup on your entire history of calls at any point in time using slack
  3. PMs can now choose to not attend meetings, but just quickly glance through the logs to realize what happened
  4. Time-consuming meetings are put out there — all the meeting durations are displayed for everyone to see.

Check your working diary

Previously, we saw how to track your time along with notes for the tracked time, but where does all of this time go?

All the tracked time can be accessed by the activity and weekly reports pages, the latter showcasing the time tracked by every employee and is only accessible to the workspace manager.

Let your team-mates know when you’re busy

All of this remote collaboration would become a nightmare if there was no way for you to just shut down and have a break!

Having a break on VoicePing is easy, you can manually set yourself to busy — this status prevents anyone and everyone from calling you and your active app being displayed to your teammates.

Alternatively, you can sync your VoicePing account with google calendar to automatically set yourself busy when you are running errands or are in a middle of a meeting with that big client!
